This Privacy Policy Statement describes what data we collect about our customers, how and why we collect and use the data, as well as how we safeguard our customers' rights and privacy policies.
Data controller
We are responsible for processing your personal data in accordance with the law at our data processor Uni Pluss AS. Our contact information can be found at the very bottom of this Privacy Policy Statement.
Personal data recorded
We process and store the information you provide in the application form for housing to us, for example. name, date of birth, gender, place of residence, mobile phone number, email address, confirmation of admission from the place of study, and any credit information obtained from an external credit rating agency. In addition, we store information about any additional services you purchase or make use of, for example rent of car park, and in principle all communication between us. Phone calls will be saved if our customer center states this.
Purpose of processing - what the data is used for
The information in the housing application, optional credit information and the information we otherwise receive from you, is used primarily to process and manage your customer relationship with us. This includes to process your orders, send you the correct invoices, handle payments and communicate with you in connection with your customer relationship and provide you with the necessary help and useful information. The information also enables us to analyze, adapt and improve our service offered and our communication with you.
The information that is automatically registered by our measurement tools and technical logs, is also used in customer relationship management, and help us ensure that the services are always working properly and that they maintain the quality they shall have. The information also enables us to provide you with the best possible user experience on the various technical devices you may use with screens of different sizes. Furthermore, we create statistics and map trends to develop, renew and improve service provision.
How long the data is kept
We keep the personal data as long as it is necessary for the purposes described in the above section or to comply with specific legal requirements. The Accounting Act allows invoice information to be stored for at least 5 years. The contact information we need to store as long as you are a customer of ours (and a certain period after this, in order to provide you with the best possible service, if you have questions). If you want to delete your personal data from the system, please contact us.
Who we share the data with
View Software AS is our data processor and processes the data on our behalf. Some other third parties also perform services on our behalf and help us with the operation of the business and delivery of services. Such third parties are given access to relevant data for use for the same purposes as described above.
We enter into written agreements with third parties we share data with and make clear demands to comply with applicable privacy laws, including the requirements for data security.
To the extent that it is imposed by law or legal decision or necessary for investigation of possible offenses against our business, relevant data may be disclosed to public authorities or any other legitimate.
How we protect the data
We work planned and systematically to ensure data security and use technical and organizational security measures to protect the stored personal data against unauthorized access and use. To the extent that we share personal data with third parties, we provide equivalent data security requirements to them.
Administration of and changes in stored data
It is important that the contact information we have registered about you is correct and up to date. You can change contact information yourself in My Profile or via Contact Information.
Cookies and web beacons
When you visit our web site, we automatically register cookies, web beacons and IP addresses.
Cookies are small data files stored on your device when you browse and use websites and services on the internet. A web beacon (pixel stitch) is an invisible mark placed on some web pages.
We use cookies, among other things. to measure traffic on our websites and to get information about which parts of our site are most visited at what times, how visitors navigate the site and duration of visited. Right of access
You have the right to see what personal data we have registered with you. You can find these under Privacy Policy when you are logged in.
Data portability
The right to take personal data from one company to another is a new right in the privacy regulation. This is called data portability.
The purpose of data portability is to provide the registered control of own information. The right applies only to personal data that the registrant himself has given to the data controller.
Data portability can take place in two ways:
- The data subject may be provided with personal data in a structured, commonly used and machine-readable format so that these can be transferred to another data controller.
- The data subject may require that the personal data to be transferred directly to the new controller when this is technically possible.
The right does not apply to personal data that is only available on paper.
